Requirements

About Office at Sheridan

Currently, Office is available to Sheridan staff in the following variations:

  • Office 2016 (desktop apps preinstalled on Sheridan disk images)
  • Office 365 (access to online Office apps only)
  • Office 365 ProPlus (access to online apps plus access to download desktop and mobile apps)

Office 2016

Office 2016

Microsoft Office is a complete suite of desktop software tools for things you do most, word processing & document creation (Word), spreadsheets (Excel), presentations (PowerPoint) and note-taking/information management (OneNote).

If you are using a Sheridan owned/leased desktop or laptop computer and running Sheridan's disk image (i.e. you or someone in your faculty or office did not set-up the computer) you are very likely running Office 2016. You can continue to use this version of Office or you can upgrade to Office 365 ProPlus if you wish but you will need to uninstall Office 2016 from your computer first. Detailed instructions are available on Microsoft's Uninstall Office from a PC page. Alternatively, you can always contact the IT Service Desk for assistance.

Office 2016 on Lab Computers

Office 2016 is still running in specialty labs where the computers are maintained by the faculty's own tech support team. Eventually, these labs will transition of Office ProPlus.

In labs maintained by IT, Office versions have been upgraded to Office ProPlus. Note that users wanting to access Office in these labs will need to authenticate when accessing Microsoft software.

Office 365

Office 365

With Office 365 you get access to the online versions of Microsoft apps, including Word, Excel, PowerPoint, Outlook and OneNote. Apps are always updated, so they're never outdated and because they are web based, you can work from anywhere you have an internet connection. All employees have access to Office 365.

If you need to download desktop versions of Microsoft applications, you will need to activate your Office 365 ProPlus license, if you haven't already.

Accessing Office 365

  1. Go to office.sheridancollege.ca

  2. Log-in with your Sheridan credentials at the prompt

  3. You will be directed to your Office 365 home page where you will see all of the online apps you can access along with a listing of online documents and OneDrive items you recently accessed. Note that you can only install desktop apps if you have activated your Office 365 ProPlus license.

Office 365 ProPlus

Office 365 ProPlus

Microsoft Office 365 ProPlus is a complete suite of desktop software tools for things you do most, word processing & document creation (Word), spreadsheets (Excel), presentations (PowerPoint) and note-taking/information management (OneNote).

With Office 365 ProPlus, you not only get access to the online versions of apps that are available via Office 365, you also get download access to desktop and mobile versions of Office apps that you can install on multiple devices, allowing you to work from virtually anywhere.

Accessing Your Office 365 ProPlus Subscription

Microsoft has moved to an named-user licensing model, meaning that users are assigned their own license and are required to log-in to activate their software license and to enable use of the software and services. To claim or verify your license (some staff & faculty are already provisioned with a license) follow the steps below.

Note: remember, if you are already running Office 2016, you will need to uninstall it first before downloading the apps associated with Office 365 ProPlus. Detailed instructions are available on Microsoft's Uninstall Office from a PC page. Alternatively, you can always contact the IT Service Desk for assistance. If you are upgrading a personal version of Office on a home computer, remember to record your original product serial number in case you need it again.

  1. Go to get.office.sheridancollege.ca 

  2. Log-in with your Sheridan credentials at the prompt

    If you are already licensed you will see a message indicating that you already have licensing rights. Click the Office 365 Portal button to proceed.


    If you have not yet claimed your license, you will see a message indicated that you now have licensing rights. Click the Office 365 Portal button to proceed.


  3. You will be presented with a Microsoft pop-up window showing your Office 365 login account [yourusername]@shernet.sheridancollege.ca and will be asked if you want to Stay signed in?

    • We recommend you select Yes and your web browser will retain your Office 365 login information until you close your web browser

  4. You will be directed to your Office 365 home page which will show you the Office 365 desktop applications that are available to you to download*. The site will automatically detect whether you require a PC or Mac installation. The default version is 32-bit (recommended). If required, this can be changed to 64-bit by clicking Advanced. If you are not certain which version you require, see how to determine if your computer is running a 32-bit or 64 bit operating system for more information.

    * Mac users will not see Access, Publisher, Skype for Business or OneDrive for Business



  5. Clicking the menu icon in the top left corner of the page will reveal all of the Office 365 web apps and online documents that you can access.

Forms

Office 365 Forms allows for the easy creation of custom quizzes, surveys, and polls. The creator uses Forms to invite others to respond using any web browser, including mobile devices. The results are quickly tabulated with additional analytics provided.

Office 365 Groups

Office 365 Groups is a service that works with the Office 365 tools you use already so you can collaborate with your teammates when writing documents, creating spreadsheets, working on project plans, scheduling meetings, or sending email. Groups allows you to create a shared Outlook inbox, shared calendar or a document library for collaborating on files. When you request a new Group you automatically get a Sharepoint online team site.

OneDrive is a cloud-based file storage. Each Sheridan user is provided 1TB of online storage space per user.

Resources for Outlook 365 will be available once we migrate to the Exchange Online environment in the fall of 2019. Stay tuned.

Planner

Microsoft Planner is a simple, visual way to organize teamwork. Launch Planner from the Office 365 app launcher with a single click. You can then create a new plan, build a team, assign tasks, and update status—in a few easy steps.

Some useful information about Microsoft Planner

  • A Microsoft Planner Plan cannot be created without it being joined to an Office 365 Group
  • Access to a Microsoft Planner Plan can only be managed through the Office 365 Group membership list and no advanced permissions can be applied outside of Owner and Member roles.

Sharepoint Online

SharePoint Online is a cloud-based service that enables you to collaborate with colleagues. With SharePoint, you can access internal sites, documents, and other information from anywhere—at the office, at home, or from a mobile device. Launch SharePoint Online from the Office 365 app launcher with a single click.

Some useful information about SharePoint Online

A SharePoint Online Team site is the default site template used when a new Office 365 Group is created. Any Sheridan employee can create a SharePoint Online Team site by creating an Office 365 Group.

Sway is an Office 365 app that helps you and your colleagues express ideas using an interactive, web-based canvas. Sway's design engine helps you quickly and easily produce professional, interactive, and visually appealing designs from images, text, documents, videos, maps, and more.

Teams

Microsoft Teams is a unified communication and collaboration platform that combines persistent workplace chat, video meetings, file storage (including collaboration on files), and application integration. Teams are made up of channels. Each channel is typically built around a faculty/department name or topic. Channels are where you hold meetings, have conversations, and work on files together.

To request a Teams channel for your department, contact the IT Service Desk, providing the following details:

  • Name of your Faculty, Department, etc.
  • Name of the Faculty/Department leader
  • Individuals who will require access to the Team channel (Sheridan email address or username required)
  • Name of an individual will act as a local Microsoft Teams 'champion’ or point-of-contact
